Kwentahan App is designed to help sari-sari store owners record utang, bayad, suki balances, mga binili, reminders, receipts, Reports, Backup, and Sync.

This Privacy Policy explains what data the app stores, how Google Drive Backup and Sync work, how PINs are handled, how exported reports work, and how you can delete Kwentahan data from your phone.
Colors of Life Productions, as Personal Information Controller under the Philippine Data Privacy Act of 2012 (Republic Act 10173), is responsible for the personal information collected through the Kwentahan App.

Local-First Design | Local-First ang Kwentahan
Kwentahan is a local-first app. This means your store records are saved on your phone first.

If you choose to connect Google Drive, Kwentahan may also save backup and sync files to your own Google Drive account so Backup, Restore, and Sync features can work.

This data is used to provide Kwentahan's main features: ledger records, balances, receipts, reminders, Reports, Backup, Sync, and store handover.

PIN and Security | PIN at Seguridad
Kwentahan uses a PIN to help protect access to your store records on your phone. Your PIN is stored locally on your device in protected form. Kwentahan does not upload your PIN to Google Drive. Kwentahan does not store your PIN on any central Kwentahan server.
Gumagamit ang Kwentahan ng PIN para makatulong protektahan ang records ng tindahan mo sa phone. Ang PIN mo ay naka-save lang sa phone mo sa protected form. Hindi ito ina-upload sa Google Drive. Hindi rin ito naka-save sa kahit anong central server ng Kwentahan.
Kwentahan is local-first. We do not keep a copy of your PIN on our servers. If you forget your PIN and there is no available recovery option or Google Drive backup, you may lose access to your local store data.

If Keeper/Bantay PIN recovery is enabled, keep that PIN safe. It may be used to verify the Bantay sa Tindahan or help reset access on the device.

Google Drive Backup and Sync | Google Drive Backup at Sync
Google Drive Backup and Sync are optional features. If you choose to connect Google Drive, Kwentahan may transmit your store data from your phone to your own Google Drive account so Backup, Restore, and Sync features can work.

Kwentahan may create files such as full backup files for restore, journal files for Sync, store data files for multi-device family use, and snapshot files for disaster recovery.
Google Drive Scope | Saklaw ng Google Drive Access
When Google Drive is connected, Kwentahan uses Drive only for Kwentahan backup, restore, and sync features. Kwentahan does not read, modify, or delete unrelated files in your Google Drive — such as your personal photos, documents, or spreadsheets.
Kapag naka-connect ang Google Drive, ginagamit ito ng Kwentahan para lamang sa Kwentahan backup, restore, at sync features. Hindi binabasa, binabago, o dine-delete ng Kwentahan ang ibang files sa Google Drive mo tulad ng personal photos, documents, o spreadsheets.
Some backup and sync files may be stored in Google Drive's appDataFolder — a private app folder. Files there may not appear in your normal Google Drive file list.

Your data is stored on your phone and, if you enable it, in your own Google Drive. Colors of Life Productions does not operate a central database that stores your suki balances, transaction history, receipts, reminders, or store ledger.

Advertising | Patalastas (Google AdMob)
Kwentahan uses Google AdMob to display banner advertisements. AdMob may collect device identifiers — such as the Android Advertising ID (AAID) — and app activity data in order to serve and measure ads. This data is collected and handled by Google, not by Colors of Life Productions.

Reports and Exported Files | Reports at Exported Files
Kwentahan may allow you to export Reports or transaction records in readable formats such as CSV, Excel, or PDF. Exported files may contain sensitive store information, including suki names, balances, transaction dates, amounts, payment history, Mga Binili, notes, and Bantay sa Tindahan names.
Maaaring mag-export ang Kwentahan ng Reports o transaction records sa readable formats tulad ng CSV, Excel, o PDF. Please share them only with trusted people. Deleting Kwentahan data from the app does not automatically delete exported files that you saved, downloaded, printed, sent, or shared outside the app.

Reminders and Receipts | Paalala at Resibo
Kwentahan may help you create reminder messages and receipts. These may include balances, payment details, item details, customer names, and transaction history. Kwentahan may open your SMS, messaging, sharing, or communication apps when you choose to send or share a reminder or receipt.
Maaaring tulungan ka ng Kwentahan gumawa ng reminder messages at resibo. Maaaring kasama rito ang balanse, payment details, item details, pangalan ng customer, at transaction history. Maaaring buksan ng Kwentahan ang SMS, messaging, sharing, o communication apps kapag ikaw mismo ang pumili na mag-send o mag-share ng paalala o resibo.
Kwentahan does not automatically send reminder messages without your action.

Contacts — If Added in a Future Version
If Kwentahan later allows you to pick a suki from your phone contacts, the app will use only the contact you select to fill in that suki record. Kwentahan will not upload your full contact list to a central Kwentahan server.
Kung magkaroon ng feature na pumili ng suki mula sa phone contacts, gagamitin lang ng Kwentahan ang contact na pinili mo para punan ang suki record. Hindi ia-upload ng Kwentahan ang buong contact list mo sa central Kwentahan server.
User Roles: Admin and Bantay sa Tindahan | Mga User Role
Kwentahan supports two user roles on the same store account:
- Admin — a store owner or trusted manager with full access. A store account may have more than one Admin. Each Admin has full access to all app features, including: store profile, backup and sync, security settings, managing other Bantay sa Tindahan accounts, deleting store data, and viewing all reports.
- Bantay sa Tindahan (Storekeeper) — a trusted person added by the Admin. The Bantay can record transactions (Dagdag Utang, Bayad Utang), view customer records, send reminders, and archive sukis. The Bantay cannot access store settings, backup, security, or delete store data.
The following data is stored locally on the device for each Bantay sa Tindahan account: display name, assigned role, and PIN (stored in protected form). This data is not uploaded to Kwentahan servers. It may be included in Google Drive backup files if backup is enabled.
All users (Admin and Bantay) who are active on the same store share access to the same customer credit and transaction records on that device. The Admin is responsible for deciding who is granted Bantay access and for keeping Bantay PINs secure.
Transactions may record which user entered the record for accountability and store reporting purposes.
Dalawang user role ang sinusuportahan ng Kwentahan sa iisang store account:

Bantay sa Tindahan — isang pinagkakatiwalaang tao na idinagdag ng Admin. Maaaring mag-record ng Dagdag Utang at Bayad Utang, makita ang records ng mga suki, magpadala ng paalala, at mag-archive ng suki ang Bantay. Hindi maa-access ng Bantay ang store settings, backup, security, o pag-delete ng store data.
Ang sumusunod na data ay naka-save sa phone para sa bawat Bantay sa Tindahan account: display name, role, at PIN (sa protected form). Hindi ito ina-upload sa server ng Kwentahan. Maaaring kasama ito sa Google Drive backup kung naka-enable ang backup.
Lahat ng users (Admin at Bantay) na aktibo sa iisang store ay may access sa parehong customer credit at transaction records sa device. Ang Admin ang responsible sa pagpapasya kung sino ang bibigyan ng Bantay access at sa pag-iingat ng Bantay PINs.
Data Retention | Gaano Katagal Naka-save ang Data
Your data remains on your phone unless you delete it, reset the app, uninstall the app, or restore/replace data from backup. If you enable Google Drive Backup or Sync, backup and sync files may remain in your Google Drive until you delete them, revoke access, or use an available in-app deletion option. Archived suki records may remain in the app so that transaction history is preserved.
Mananatili ang data mo sa phone mo maliban kung i-delete mo, i-reset ang app, i-uninstall ang app, o mag-restore/replace mula sa backup. Kung naka-enable ang Google Drive Backup o Sync, maaaring manatili ang backup at sync files sa Google Drive mo hanggang i-delete mo ang mga ito o tanggalin ang access.
Deleting Your Data | Pag-delete ng Iyong Data
Kwentahan does not maintain a central user account or central ledger database. Because Kwentahan is local-first, deleting data from one phone may not automatically delete data already backed up, synced, exported, printed, sent, or shared elsewhere.
Hindi nagtatago ang Kwentahan ng central user account o central ledger database. Dahil local-first ang Kwentahan, ang pag-delete ng data sa isang phone ay maaaring hindi automatic na mag-delete ng data na na-backup, na-sync, na-export, na-print, na-send, o na-share sa ibang lugar.
16.1 Delete Kwentahan Data From This Phone | Burahin ang Kwentahan Data sa Phone na Ito
The app provides an Admin-only option to delete all local Kwentahan data:

This action may delete from the phone: Room database records, store records, suki/customer records, transactions, Price List items, StoreKeeper / Bantay sa Tindahan setup, local PIN state, sync status and metadata, and local app settings. After deletion, the app may return to first-launch onboarding.
Deleting Kwentahan data from this phone may permanently remove records that were saved only on this phone and were not yet synced or backed up. Before deleting, use Sync or Backup if you want to keep a copy.
Ang pag-delete ng Kwentahan data sa phone na ito ay maaaring permanenteng magtanggal ng records na naka-save lang sa phone na ito at hindi pa na-sync o na-backup. Bago mag-delete, gamitin muna ang Sync o Backup kung gusto mong may kopya ka pa.
16.2 Google Drive Backup / Sync Data
Deleting Kwentahan data from your phone does not automatically delete Google Drive backup or sync files. This is intentional — you may want to wipe an old phone while keeping your Google Drive backup for a new phone. Backup files stored in Google Drive's appDataFolder may not be visible through normal Google Drive browsing; future versions of Kwentahan may provide an in-app way to manage or delete those files.

16.3 Exported Files and Sent Messages
Deleting app data does not delete exported CSV, Excel, PDF, receipt files, screenshots, printed copies, or messages already sent through another app. You are responsible for deleting those files or messages from wherever they were saved or shared.

You have the right to be indemnified for damages sustained due to inaccurate or unauthorized processing of your personal information.
You have the right to withdraw your consent to the processing of your personal information at any time. Withdrawal does not affect the lawfulness of processing done before withdrawal.

Children's Privacy | Tungkol sa Bata
Kwentahan is intended for users who are 18 years of age or older. Kwentahan is a business recordkeeping tool and is not designed for or directed at minors. Users under 18 may only use Kwentahan under the direct supervision of a parent or guardian who is the store owner or Admin.
Ang Kwentahan ay para sa mga gumagamit na 18 taong gulang pataas. Ang Kwentahan ay isang business recordkeeping tool at hindi ito ginawa para sa o nakatuon sa mga menor de edad. Ang mga wala pang 18 taong gulang ay maaari lamang gumamit ng Kwentahan sa ilalim ng direktang pangangasiwa ng magulang o guardian na siyang store owner o Admin.
Security | Seguridad
We use reasonable app-level protections to help protect your records, including PIN access, local storage protections, Admin-only deletion controls, and Google Drive Backup/Sync only when enabled by you.
When Kwentahan connects to Google Drive, data is transmitted using secure Google Drive APIs over encrypted connections (HTTPS/TLS). Local data stored on your phone is not transmitted over the network and does not require in-transit encryption.

In the event of a personal data breach that is likely to result in harm to you, Colors of Life Productions will notify affected users and report to the National Privacy Commission (NPC) within the period required by the Philippine Data Privacy Act of 2012 and its Implementing Rules and Regulations.
